Administrative Assistant – Full Time (Allen, TX)

Position Overview

Part administrative, part client service, this position will provide administrative support to the Tax Services and Compliance department.  You will be responsible for general office tasks including maintenance of client data and files. This position will communicate proactively to ensure deadlines and the needs of clients are met, provide administrative support to team members, and positively contribute to the office culture and client experience.

Duties and Responsibilities:

    • Organize and oversee compliance activities for multiple clients including data gathering, work paper creation and organization, payment, electronic and paper submissions, amendments, reconciliation of tax and payment accounts, and audit research and communication, including communicating with client and state taxing authorities.
    • Communicate clearly and effectively with clients, reviewers, preparers, managers, and administrative staff for assigned accounts.
    • Gather and verify documentation.
    • Assist tax preparer on all return filing related duties, such as efiling, payment files, uploading and downloading documentation, reconciling payment and tax accounts, and mailing returns.
    • Preparation of agendas, reports, presentations, and other materials to prepare for client meetings and other business activities.
    • Contact states and local taxing jurisdictions on clients’ behalf.
    • Prepare bulk mailings.
    • Provide excellent telephone and email support.
    • Able to meet multiple deadlines and other duties as assigned.

Qualifications and Skills:

    • High School Diploma or equivalent plus 2 years of administrative experience
    • Customer Service – Able to address difficult customer situations, respond promptly to customer needs, solicit customer feedback to improve service, and able to meet commitments.
    • Language Skills – Excellent written and oral communication skills. Ability to speak and write in English fluently. Ability to write reports and business correspondence.
    • Exceptional organizational skills.
    • Ability to multi-task and take direction.
    • Knowledge of Microsoft Office applications and ability to learn new software.
    • Demonstrate accuracy, thoroughness, and dependability.
    • Identify and resolve problems in a timely manner, gather and analyze information skillfully, work well in group problem solving situations, and able to adapt quickly.
    • Respond promptly to requests.
    • May deal with confidential information and/or issues using discretion and judgment.
